TASDANCE in collaboration with SITUATE is seeking an experienced part-time Tasmanian-based Operations Manager to support the day to day running and growth of the organisation.  This role is part time, three days a week for 12 months.

POSITION OVERVIEW

The Operations Manager will play a key role within our organisation by ensuring the smooth operation of all office and program administration. The role supports the coordination of an annual program of activities across both Tasdance and Situate - supporting our Executive Team (the Tasdance Artistic Director-CEO and the Executive Producer of Situate) and helping facilitate the Company’s performance against its vision, strategies and goals. The Operations Manager assists in the organisation’s financial administration and, in collaboration with the Executive Team, the administration of and communications with our Board.

In this position you will:

  1. Oversee and ensure all administrative and office operations systems run efficiently and effectively and are kept up-to-date.

  2. Manage the office Information Technology and all record-keeping systems, and the Company’s CRM ensuring that they are kept up-to-date, including all databases encompassing key contacts: electronic and print media, presenting and other partners, stakeholders, participants, audiences, Members, supporters, and Tasdance alumni.

  3. Coordinate the setting-up of meetings, and prepare and distribute meeting agendas, reports and Minutes.

  4. Liaise with internal and external stakeholders including government representatives, Board Directors, donors and corporate partners and other supporters and partners on behalf of the Executive Team, and manage communications on their behalf as required.

  5. Ensure all administrative arrangements for meetings, including the booking of venue(s) and meeting set-up, catering, preparation of technology, agendas etc. are completed prior to the commencement of any meetings.

  6. Arrange travel bookings for staff, other contracted creative personnel, and interstate Board Directors.

  7. Arrange, prepare and distribute agendas for, Minute, and attend weekly management meetings.

  8. Work closely with the Executive Team in developing and implementing project plans. Assist the Executive Team in acting as the secretariat to the Tasdance Board, including assistance with confidential Board correspondence and in preparing Board papers as and when required.

  9. Assist the Executive Team in implementing marketing and communications strategies and plans, including media liaison, as and when required.

SELECTION CRITERIA ESSENTIAL 

1 Well-developed and strong administration and project management skills, including all aspects of office management. 

2. Demonstrated ability and experience in developing and implementing innovative solutions for addressing structural and operational barriers to achieving project outcomes. 

3. Demonstrated strong skills in IT, database management, and record-keeping systems. 

4. Demonstrated ability to work cooperatively in a team, with the ability to work productively unsupervised and under pressure. 

5. Demonstrated highly effective communication skills. 

Required: A current driver’s licence 

SELECTION CRITERIA DESIRABLE

1. Human Resource management experience. 

2. General knowledge of and interest in the Australian arts and culture sector
